Veterinary Operations Manager

Internal Title:  Clinic Manager

Texas Coalition for Animal Protection (TCAP), a nonprofit 501(c)(3), is seeking an experienced, highly driven operations leader to serve as a Clinic Manager. TCAP works to end animal overpopulation and improve community animal welfare by providing low-cost preventative services throughout North Texas.

Salary: $60,000–$85,000 annually, depending on experience and qualifications.  Performance-based incentive compensation is also available based on the achievement of established financial metrics and clinic performance goals.

The Opportunity

The Clinic Manager is the clinic’s operational leader. This is not a traditional veterinary office manager role. You will own the day-to-day operational performance of a high-volume veterinary clinic while leading people, optimizing workflow, managing resources, and driving financial and operational results.
Our clinics move quickly, serve large volumes of cats and dogs, and require leaders who can make sound decisions under pressure, adapt when priorities change, and continuously improve how the clinic operates. The successful candidate will be a visible, hands-on leader who can move seamlessly between strategic thinking and immediate operational needs.

This role is well suited for an experienced leader from veterinary medicine, healthcare, retail, hospitality,
high-volume service operations, or another complex customer-facing environment who is ready to bring strong operational leadership to a mission-driven veterinary organization.

What You’ll Own

Lead People & Build Accountability

  • Lead, coach, develop and hold team members accountable for performance, professionalism and TCAP standards.
  • Set clear expectations, address performance concerns promptly and build a culture of ownership, teamwork and continuous development.
  • Assess staffing and capability needs, delegate effectively and build leadership capacity within the team.
  • Provide a visible, hands-on leadership presence when staffing levels, patient volume or business needs require it.
Drive Operational Excellence

  • Own daily clinic operations, patient/client flow, staffing, workflow and resource allocation to maximize safe, efficient throughput.
  • Anticipate operational challenges, remove barriers and make timely decisions as conditions change.
  • Use data, observations and team feedback to identify trends, diagnose problems and implement practical improvements.
  • Lead change and help the team adapt to new processes, priorities and organizational expectations.

Own Financial & Business Performance

  • Own clinic financial and operational performance and drive achievement of established goals, budgets and cost objectives.
  • Analyze key financial and operational metrics, identify performance gaps and implement action plans to improve results.
  • Manage labor, staffing, inventory, expenses and resources with strong business judgment.
  • Balance financial performance with safety, quality, patient care, client experience and team capacity.
  • Ensure clinic administrative, cash-handling, reporting, and documentation processes are completed accurately and timely.
Deliver a Strong Client & Patient Experience

  • Set the standard for professional, timely and positive client service.
  • Resolve complex client concerns and escalations with sound judgment and professionalism.
  • Support appropriate patient care and clear communication with pet owners.
  • Maintain sufficient working knowledge of veterinary concepts, patient needs and animal behavior to effectively support clinic operations and client communication.
Maintain a Safe, Ready-to-Operate Clinic

  • Ensure safety procedures and operational standards are consistently followed.
  • Maintain oversight of cleanliness, facilities, equipment, inventory and readiness for daily patient volume.
  • Identify and address facility, equipment and operational issues before they disrupt clinic performance.
Represent & Advance TCAP

  • Partner with other Clinic Managers and Administration to solve operational challenges and share best practices.
  • Represent TCAP in the community and support awareness of its services and mission.
  • Travel to other clinic locations as needed.

What Success Looks Like

  • Build a capable, accountable and engaged team.
  • Maintain efficient patient and client flow despite high daily volume.
  • Achieve established financial and operational performance metrics and actively manage performance against budget.
  • Identify and implement improvements that increase clinic efficiency and effectiveness.
  • Develop people and build greater leadership capacity within the team.
  • Anticipate problems, make sound decisions and adapt quickly to changing staffing, operational and business needs.

What We’re Looking For

Education & Experience
  • Bachelor’s degree in business administration, healthcare administration, management, veterinary business/management, or a related field preferred. Equivalent combination of education and significant leadership/management experience may be considered.
  • Minimum of 5 years of progressive leadership, supervisory or management experience in a high-volume, fast-paced operational environment.
  • Demonstrated experience leading teams, managing day-to-day operations and driving performance where priorities shift quickly and decisions require urgency and sound judgment.
  • Experience managing employee performance, staffing, workflow, customer/client concerns and competing operational priorities.
  • Experience in veterinary medicine, animal care, healthcare, high-volume service operations, retail, hospitality or another similarly complex customer-facing environment strongly preferred.
  • Veterinary clinic experience is preferred but not required when the candidate demonstrates strong, transferable operational leadership experience.

Skills & Capabilities
  • Strong operational leadership, business acumen and understanding of staffing, workflow, performance management and resource utilization.
  • Ability to manage high-volume operations while maintaining quality, safety and client/customer experience.
  • Ability to understand performance metrics, identify trends and translate information into action.
  • Strong communication, problem-solving, decision-making and conflict-resolution skills.
  • Ability to independently assess situations, prioritize competing demands and take action without constant direction.
  • Ability to remain composed and effective under pressure and during unexpected or emergency situations.
  • Working knowledge of veterinary medical concepts, animal behavior and patient care preferred; willingness to develop the technical veterinary knowledge required to oversee clinic operations required.
  • Successful candidates must be comfortable learning and performing the veterinary operational functions required within their assigned clinic.
  • Veterinary-specific technical skills such as animal restraint, vaccination administration and blood draws may be required based on clinic needs and assigned location.

Work Environment & Physical Requirements

This is a fast-paced clinic environment handling large quantities of cats and dogs each day. The position requires extended periods of standing and the ability to move up to 50 pounds of pets and equipment repeatedly throughout the day with assistance.

The role may involve exposure to cleaning solutions, animal dander and allergens, isoflurane gas, needles, surgical blades and potentially extreme temperatures. Bending, kneeling and hand-eye coordination may be required when providing vaccinations and drawing blood. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Compensation & Benefits

Salary: $60,000–$85,000 annually, depending on experience and qualifications. Performance-based incentive compensation is available based on the achievement of established financial metrics and clinic performance goals.
